Manage Property Rooms and Photos

How to manage photos, rooms, cover photos, the Library, PMS vs custom order, and how quickly updates appear on your site.

Quick answer

You manage photos for a WanderOS listing from app.wander.com → Listings → click the listing → Listing Details → Rooms and photos. The tab has two sub-views: Photos (every photo on the listing) and Rooms (photos organized by room). From there you set the 5 cover photo slots (Cover photo + Highlight 1–4), reorder photos with drag and drop, move photos between rooms, and remove photos. Removed photos move to the Library for re-use later. Listings start in PMS order by default, and switch to Custom order automatically the first time you make a manual change. Most actions save automatically. This applies to all WanderOS hosts and property managers.


How do I open the Rooms and photos tab?

  1. Log in to app.wander.com.

  2. Select Listings in the left sidebar.

  3. Click the listing you want to edit.

  4. In the listing's left sidebar, open Listing Details.

  5. Click the Rooms and photos tab.

The tab has two sub-views at the top:

  • Photos — every photo on the listing in one grid.

  • Rooms — photos grouped by room.


How does syncing from my PMS work?

Photos and rooms sync directly from your Property Management System (PMS):

  • New photos uploaded in your PMS flow into WanderOS automatically on the next sync.

  • Photos removed in your PMS are removed from your active listing in WanderOS, but a copy stays in the Library for re-use.

  • Rooms created in your PMS appear in the Rooms sub-tab automatically.

Tip: If your PMS-synced photos appear blurry, manually upload high-quality originals to replace them. PMS images are sometimes compressed before they reach WanderOS.


How do PMS order and Custom order work?

Every WanderOS listing uses one ordering mode at a time — PMS order or Custom order — for both photos and rooms. WanderOS supports both modes regardless of which PMS you use.

  • PMS order (default for every new listing) — Photos and rooms appear in the exact order your PMS sends. Every PMS sync re-applies that order.

  • Custom order — You set the order yourself in WanderOS. PMS re-syncs do not change the order you've set.

The active mode is shown by a toggle in the top right corner of the Rooms and photos tab.

How does a listing switch to Custom order?

You don't need to flip the toggle yourself. WanderOS automatically switches a listing from PMS order → Custom order the first time you make any manual change, including:

  • Reordering a photo inside a room

  • Moving a photo to a different room

  • Reordering rooms

  • Adding a room

Once the listing is on Custom order, your arrangement is locked in and PMS re-syncs will not shuffle it.

How do I switch back to PMS order?

Use the toggle in the top right of the Rooms and photos tab to switch from Custom → PMS order. WanderOS shows a confirmation warning before the switch goes through.

Important: Switching back to PMS order replaces your custom arrangement with whatever order your PMS currently sends. WanderOS does not save your old custom arrangement, so flipping back to Custom later starts fresh from the current PMS order. If you've spent time curating a sequence, screenshot it first or stay on Custom order.

Note: PMS order depends on your PMS sending ordering information correctly. If your PMS doesn't transmit a stable order, WanderOS may apply a default sort instead. If the order looks off in PMS mode, make any manual edit (or pick Custom from the toggle) and arrange it yourself.

What happens to new PMS photos when I'm on Custom order?

When a new photo arrives from your PMS while the listing is on Custom order, the photo:

  1. Appears at the end of the photo carousel on your live listing.

  2. Is not assigned to a room — open the Rooms sub-tab and move the photo to the correct room when you're ready.

The photo is visible to guests as soon as it syncs, even before you assign it to a room. If you don't want unassigned photos showing on the listing page, place them into rooms shortly after each PMS sync.


How do cover photos and highlights work?

Your listing page opens with a 5-photo cover lineup at the top. The slots are:

The Cover photo is the first image guests see. Highlight 1–4 are the next four images in the lineup.

Recommended order:

  • Cover photo: Primary exterior shot

  • Highlight 1: Secondary exterior shot

  • Highlight 2: Main living area

  • Highlight 3: Best bedroom

  • Highlight 4: Standout amenity (pool, hot tub, view, etc.)

Tip: Fill all 5 slots. A complete cover lineup creates the strongest first impression.


How do I make a photo a cover or highlight?

You have two ways to do this. Both work from the Photos sub-tab.

Option 1 — Drag and drop

  1. Open the Photos sub-tab.

  2. Drag any photo from the grid directly into the Cover photo or one of the Highlight 1–4 slots at the top of the page.

You can also drag photos between the cover slots to reorder the lineup itself (for example, swap Highlight 2 and Highlight 3).

Option 2 — Action bar

  1. Open the Photos sub-tab.

  2. Check the box on the photo you want.

  3. Click Make cover photo in the action bar at the bottom of the screen.

If no Cover photo is set, the new selection takes the Cover photo slot. If a Cover photo already exists, the new selection takes the next available Highlight slot.


How do I reorder photos within a room?

  1. Open the Rooms sub-tab and open the room you want to reorder.

  2. Hover over a photo and press and hold the 6-dot drag handle.

  3. Drag the photo to its new position and release.

Changes save automatically. The first reorder also switches the listing to Custom order so your arrangement is preserved across PMS re-syncs.


How do I move photos to a different room?

  1. Hover over the photos and check the box on each image you want to move.

  2. Click Move to room in the action bar at the bottom of the screen.

  3. Choose the destination room.

Photos move immediately. The first move also switches the listing to Custom order.


How do I add photos?

  1. Open the Rooms and photos tab.

  2. Open the room you want to add photos to.

  3. Click available for re-use.


How do I remove photos?

  1. Check the box on each photo you want to remove.

  2. Click Remove in the action bar at the bottom of the screen.

Note: Removed photos do not leave the system. They move to the Library for that listing, where they're held indefinitely. To bring a removed photo back, click Add photo on any room and pick it from the Library.


What is the Library?

The Library is the per-listing vault of every photo associated with the listing — current photos, photos you've removed, and any photos you've uploaded directly to WanderOS. It's scoped to a single listing (each listing has its own Library) and photos are retained indefinitely.

You access the Library by clicking Add photo on a room. From there you can re-add any previously removed photo or upload new ones.


How do I add a room?

  1. Open the Rooms sub-tab.

  2. Click Add room in the top right corner.

  3. Pick a room from the preset list of room names (Bedroom, Bathroom, Kitchen, Living room, Exterior, etc.).

  4. Save.

The new room appears in the Rooms sub-tab and is ready to receive photos. Adding a room also switches the listing to Custom order.


How do I reorder rooms?

  1. Open the Rooms sub-tab.

  2. Drag and drop a room to its new position in the room list.

Reordering rooms switches the listing to Custom order so the new sequence is preserved across PMS re-syncs.


How quickly do photo updates appear on my site?

Photo changes propagate to two surfaces at different speeds:

  • Listing detail page — updates appear in near real-time. Refresh the page to see new photos, new cover lineup, or removed photos within seconds.

  • Property card thumbnails (Property Gallery sections, Homepage Hero, the /s search page) — updates typically appear within 1 to 2 hours. Property card images run through an image cache that refreshes on a delay.

If a property card thumbnail still shows the old photo after 2 hours, wait a little longer rather than re-uploading. Re-uploading does not bypass the cache.


Best practices

  • Fill all 5 cover photo slots.

  • Lead with exteriors. Strong primary exterior as the Cover photo, secondary exterior in Highlight 1.

  • Replace blurry PMS photos with high-resolution originals.

  • Keep room organization tight. Move photos into the correct room so the listing reads cleanly.

  • Place new PMS photos right after each sync if you're on Custom order — unassigned photos still show on the listing page.

  • Once you've curated a custom arrangement, stay on Custom order. Flipping back to PMS order discards your work.
