How do I set check-in, check-out, and access info for my WanderOS listing?

How to set check-in/check-out times, entry method, and WiFi info for your WanderOS listing — what syncs from your PMS and what you must enter manually.

Quick answer

You set check-in and check-out times, the entry method, and WiFi info from app.wander.com → Listings → click the listing → Listing Details → Arrivals and access. Check-in and check-out times sync directly from your Property Management System (PMS), so update those in your PMS. Access info — WiFi network and password, door codes, lock codes, gate codes, check-in instructions — must be entered manually in WanderOS. Everything on this tab feeds your guest Pre-Trip and Check-in Day email campaigns. If those campaigns are enabled and access info is not filled in, generic placeholder content is sent to your guests instead of your real property details. This applies to all WanderOS hosts and property managers.


How do I open the Arrivals and access tab?

  1. Log in to app.wander.com.

  2. Select Listings in the left sidebar.

  3. Click the listing you want to edit.

  4. In the listing's left sidebar, open Listing Details.

  5. Click the Arrivals and access tab.


What syncs from PMS, and what do I enter manually?

Important: PMS systems do not transmit access info (WiFi credentials, door codes, lock codes, gate codes, written check-in instructions). Even if you store these in your PMS, they will not flow into WanderOS. You must enter them on the Arrivals and access tab.


How do I update check-in and check-out times?

Because times sync from your PMS, update them there. They appear together as check-in and check-out times at the top of the Arrivals and access tab.

  1. Open the listing in your PMS.

  2. Update the check-in and check-out times.

  3. Wait for the next sync into WanderOS.

  4. Open the Arrivals and access tab in WanderOS to confirm the new times appear.

If you make a one-off edit to the times directly in WanderOS, a future PMS sync may overwrite it with the PMS value. Update your PMS for permanent changes.


How do I set the check-in method and instructions?

  1. Open the Arrivals and access tab.

  2. Find the Check-in method section.

  3. Select the entry method that matches the property (keypad, lockbox, smart lock, in-person, etc.).

  4. Write or update the check-in instructions guests will read on arrival.

  5. Save.

Write the instructions for a guest who has never been to the property before. Include:

  • Where to park

  • How to find the entry point (e.g., "front door on the side of the garage")

  • How to operate the lock or retrieve the key (full code or step-by-step)

  • What to do if the entry method fails (backup contact, backup code, lockbox location)


How do I set the WiFi network and password?

  1. Open the Arrivals and access tab.

  2. Find the WiFi details section.

  3. Enter the network name (SSID) exactly as it appears when guests scan for WiFi.

  4. Enter the password.

  5. Save.

Important: Test the WiFi credentials at the property before you save. A wrong character in the SSID or password is one of the most common guest support tickets.


Where does this data show up for guests?

Everything on the Arrivals and access tab is automatically pulled into your guest email campaigns:

  • Pre-Trip email — sent before the stay; includes check-in time, check-out time, and a preview of access info.

  • Check-in Day email — sent on the day of arrival; includes the entry method, check-in instructions, door codes, and WiFi credentials.

Important: If the Pre-Trip or Check-in Day campaigns are enabled and any field on this tab is blank, the email is still sent — but with generic placeholder content in place of your real property details. Guests can receive emails with no WiFi password, no door code, or check-in instructions that don't match your property. Fill in every field on the Arrivals and access tab before enabling these campaigns, and update them the same day any code or password changes.


Best practices

  • Fill in every field on this tab before turning on guest emails. Blank fields become generic placeholder text in real guest messages.

  • Test the WiFi credentials at the property before saving, after every router replacement, and after any password rotation.

  • Rotate keypad codes regularly if your smart lock supports it. Update Check-in method the same day so guest emails stay accurate.

  • Write check-in instructions for a tired traveler arriving at night. Assume no prior knowledge of the property.

  • Include a backup plan in the instructions (a contact phone number, backup lockbox, or hidden key) in case the primary entry method fails.

  • Keep check-in and check-out times consistent with what your PMS sends to OTAs (Airbnb, Vrbo). Update times in your PMS so every channel stays aligned.
